Status: Reviewed
Version(s): 10.0, 10.0i, 10.1, 10.1i, 9.1, 9.1i

Problem: How to E-mail a report in Expedition
Problem: Send e-mail through Expedition
Cause: There are several components needed to enable the e-mail functionality in Expedition:

  1. Does the company for the user exist in the Expedition Company directory?

  2. Does the user have a unique logon account when they logon to Expedition?

  3. Is the user抯 email address populated in their User Account in Expedition Administration and within their Company record within the Project from which they want to send email?

  4. Ensure that the Expedition PDF Printer is installed on the computer hosting the Expedition Web Server application.

  5. Ensure that the SMTP server name is entered in the Server Configuration utility.

  6. Ensure that Port 25 is not blocked on the Web Server.  This is the port the Web Server uses to communicate with the SMTP server.

For more information about setting up e-mail, please refer to the following solution: Solution ID PRIM16509 “How To: Configure e-mail in Expedition”

Fix: 1. Open up the module from which the user wants to send a Report.  For example, the Drawings module.

2. From the Select an Action dropdown list, select Advanced Print and click on the Go button.

Fix:

3. The e-mail form window will then appear

4.  Add e-mail recipients one of two ways.

    a.  If the recipient is in the project contact list and has an e-mail address listed, click on select…

The Contact list window will appear.  Click on the Select link next to the desired recipient’s name

Your selections will be listed under Selected Contacts.  Once all desired contacts are selected, click the Save button.

   b.  The other option is to manually type in the recipient’s e-mail address in the To: text field, separating e-mail addresses with a comma

5. Add any comments in the Remarks area, if there are attachments in the record that need to be sent with the email, check the Include Attachments checkbox.  Click Ok when finished.

6.  The end result is pictured below. For Expedition 10.0, there will be a link that will direct the recipient directly to the record in Expedition, providing they have an Expedition account with the company the email originated from.  For Expedition 9.0 and 9.1, the link will not be present.  The attachment is the report that would print out in Expedition in Adobe .pdf format.

Note:  The attachment name is not editable.
